Customer Care Specialist

The Job

Hartwig is one of the nation's leading CNC machine tool distributors. The customers we serve are in a variety of industries and rely on the Hartwig team to install, repair and inspect their equipment to prevent expensive machine failures from occurring. This position is a vital part of those processes. A Customer Care Specialist contributes to the success of Hartwig by organizing and coordinating after-the-sale support from initial phone call through completed service cases with a goal of ensuring organizational effectiveness, efficiency and a positive customer experience.

Main responsibilities of this full-time position based in the Tulsa, OK area include:

  • Conducts customer introduction calls and visits to establish and maintain good working relationships
  • Works with Service Managers to coordinate schedules and preparedness for the Service team
  • Works with Service Engineers to ensure accuracy and review cases with Service Manager
  • Monitors shipment dates and communicates changes
  • Proactively identifies issues and works with appropriate team members to find resolutions
  • Reviews service invoices for accuracy and investigate discrepancies
  • Shares preventative maintenance literature with customer
  • Manages cases and manufacture design loss requests
  • Reviews, enters and maintains data, such as machine information and service records
  • General office duties to include answering and directing incoming phone calls, sorting mail, and other administrative support as needed.
  • Partners with Regional President to assist in overall operational efficiencies of office.
  • Responsible for evaluating and contracting vendors required for facility maintenance and utilities.
  • Assists in planning, set-up and facilitation of training sessions, open houses and other company functions, which may include invitations, registration, food and beverage, set-up and clean-up.

The Skills

Individuals who ideally fit this role should meet the following qualifications:

  • 2 years' experience working in a past paced office based customer service environment
  • Demonstrated problem solving and decision-making ability
  • Strong interpersonal communication and customer relationship building skills
  • Proficient in Microsoft Excel, Word and Outlook
  • Excellent attention to detail and follow through
  • Professionalism and ability to build long-term relationships with team members and customers
